The kinds of supplier operating here

Broad-line MRO distributors carry very large catalogues across consumables and components, competing on availability and on the systems that make ordering fast.

Specialist distributors cover one technology — bearings, fluid power, motion control, abrasives — with technical depth and application support that broad-line operations do not attempt.

Manufacturer-authorized service distributors hold a relationship with an equipment maker and carry genuine parts with the maker’s warranty position.

Surplus and obsolete dealers hold discontinued components for equipment nobody supports any more. Sometimes the only source that exists.

OEM versus aftermarket versus reconditioned is the source-type distinction that matters here. The generic title positions are in who owns the goods.

Why identification matters more than price

A replacement part that is dimensionally close but not equivalent can fail early, damage the assembly around it, or void an equipment warranty. The cost of that failure is the downtime, not the part.

Cross-references between OEM and aftermarket numbers are the core competence of a good distributor. Ask for the OEM number, the proposed equivalent, and the basis for the equivalence — dimensional, material, rating, or a manufacturer’s own published cross-reference. Where the answer is vague, it is not an equivalence.

OEM, aftermarket, reconditioned

OEM. The equipment maker’s part, carrying its warranty position and the highest price. Required where a warranty or a compliance regime says so.

Aftermarket. Made by a third party to fit. Quality ranges from equivalent to poor, and the range is wider than in most categories. Often the correct choice on wear items with published specifications.

Reconditioned and used. Rebuilt or salvaged. Legitimate on obsolete equipment, with the condition, any testing performed and any warranty stated in writing before purchase.

What a certification claim has to name

On a safety-related or pressure-rated component, ask which laboratory certified the part and against which standard. OSHA recognizes testing laboratories under 29 CFR §1910.7, which requires a recognized laboratory to be completely independent of the manufacturers and users of what it tests, and to inspect the production run at the factory rather than certify a sample once and leave it.

A certification claim that names no laboratory and no standard is not a certification claim. This matters most on non-OEM parts, where the cross-reference tells you a part is dimensionally equivalent and says nothing at all about whether it was tested to the same standard.

Minimums and account requirements

Minimums are usually low or absent, because the business model assumes frequent small orders against an account. Standard trade paperwork applies — the paperwork an account needs. What is worth negotiating instead of the minimum is the stocking arrangement: agreed inventory of known wear items, held by the distributor against your forecast.

What to check before ordering

  • The OEM number and the proposed equivalent, with the basis for the cross-reference in writing.
  • Certification where the component is safety-related or pressure-rated — ask for the listing or mark the job requires; do not invent a file number.
  • Lot traceability on components subject to a quality regime.
  • Lead time by line, distinguishing branch stock from factory order.
  • Return position on electrical and special-order items, which is often narrower than the general policy.

Machine serial and build year belong on the quote when the part is equipment-specific. That identification problem is treated in heavy equipment and machinery parts.

Freight and receiving

Most orders are small parcels; some single components need a truck and equipment to offload. Confirm dimensional weight and offload capability before booking anything oversize — the rating mechanics are in how pallets get priced. For emergency orders, ask what the cut-off time is for same-day despatch rather than what the transit time is.

Frequently asked questions

Is an aftermarket part as good as OEM?

Sometimes better, sometimes much worse, and the label alone does not tell you which. On wear items with published specifications the difference is often negligible; on tolerance-critical or safety-related components it can be substantial.

What is a cross-reference and why does it matter?

A mapping from an OEM part number to an equivalent from another manufacturer. It matters because the mapping is a judgment, and a distributor should be able to state the basis for it rather than simply asserting equivalence.

Should I hold stock or rely on next-day supply?

A critical-spares list or a vendor-managed inventory arrangement at the plant is usually cheaper than expedited freight after a line stops. That is an MRO stocking problem.
