A supplier quotes $10 per unit. Before you use that number to compare suppliers or set a selling price, calculate what it takes to get those goods into your warehouse. In the example below, a 1,000-unit order costs $10,000 to purchase and another $2,500 to transport, insure, clear and deliver. The landed cost is $12,500 for the shipment, or $12.50 per unit.

The addition is straightforward. The work is identifying which charges belong in the calculation, which are already included in a quote, and which amounts still need confirmation. This guide takes you from the supplier’s quotation to a repeatable worksheet, using a U.S. buyer’s warehouse as the destination. Every numerical scenario is hypothetical; none is a current freight quotation, tariff recommendation or actual customer order.

What is landed cost, and where does the calculation end?

Landed cost is the combined cost of obtaining goods and bringing them to a defined destination. For this guide, the endpoint is received at the buyer’s warehouse, with the delivery and receiving services stated in the worksheet. Reaching the destination port does not finish that journey if clearance, local transport or unloading remains outstanding.

Write the endpoint above the numbers. Include the delivery address, quantity, product specification, currency and required services. A quote ending at a terminal and a quote ending at your loading dock cannot be compared without adding the missing work. The same applies to a delivery requiring a liftgate or an appointment that the carrier’s original price excludes.

This is a purchasing calculation. Your accounting treatment of inventory, financing, abnormal losses and recoverable taxes may differ. Keep a separate section for working capital, contingency and later selling expenses so readers of the worksheet can see exactly what the landed-cost total contains. What is included in total landed cost?

Use the following list to request information. It is a checklist of possible charges, not a statement that every shipment incurs every fee. Mark each item as included elsewhere, separately payable, not applicable or pending confirmation.

Fees with similar names deserve special attention. A forwarder’s destination handling line and a broker’s service fee may cover different work, or one may include the other. Ask for their scope instead of automatically deleting one or adding both. Record the document reference beside each amount.

Separate conditional charges such as storage after a delay from the base estimate when they have not occurred. State what triggers them and show a scenario if they could materially change the decision. Once a charge actually arises, reconcile it using the invoice and the cost policy you have chosen.

The landed cost formula

For a worksheet that breaks charges into separate, non-overlapping components:

If your supplier instead gives one bundled price, start with that bundle and add only excluded charges needed to reach the same endpoint. Do not add a component again merely because the formula has a line for it. Both approaches should produce the same total when they describe the same shipment and scope.

For planning, state the expected received quantity and the assumption that all units are usable. After arrival, reconcile ordered, received and usable quantities separately. Dividing by usable units is helpful for commercial analysis, but does not by itself establish the correct accounting treatment of shortages or damaged inventory.

How to calculate landed cost step by step

1. Fix the order and quote scope

Record the exact item, quantity, unit of measure and delivery endpoint. Attach the supplier quotation and any agreed trade term, named place and version. The International Trade Administration’s Incoterms overview explains that these rules allocate transport and related responsibilities; they do not settle every condition of the sale.

If you have not yet requested comparable offers, use the wholesale RFQ template to ask each supplier the same questions. Correcting a carton-versus-unit misunderstanding now matters more than refining an exchange rate to another decimal place.

2. Collect amounts and identify their evidence

Request the supplier’s scope, a forwarder’s transport breakdown, a broker’s estimate of import charges and a final-delivery quotation. Match all of them to the same shipment size and destination. Record whether each figure is quoted, estimated, invoiced or still pending, along with its validity date.

Do not enter zero for a charge you have not researched. An unknown brokerage amount is not free brokerage. Show the known subtotal and list the unresolved items that prevent it from becoming a complete landed-cost estimate.

3. Convert to one reporting currency

Retain each original amount and currency, then record the conversion rate and date used for your purchasing estimate. Label the direction of the rate. If a hypothetical service costs EUR 200 and the planning rate is USD 1.10 per EUR, its worksheet amount is USD 220. A USD-per-EUR rate is multiplied by the euro amount, not divided into it.

Record any separately charged conversion or payment fee according to your stated cost scope. When payment settles, preserve the estimate and add the actual amount beside it. A planning exchange rate is not automatically the exchange rate required for a customs declaration.

4. Confirm customs charges independently

Do not apply a guessed duty percentage to your entire landed-cost total. Customs value and landed cost serve different purposes. CBP’s explanation of CIF and customs value states that the CIF price including freight and insurance is not the value to declare for U.S. customs purposes. Establish the applicable valuation basis, including any required adjustments, for the actual transaction.

CBP’s duty-rate guidance points importers to the Harmonized Tariff Schedule and cautions that the applicable rate may differ from their initial expectation. Give your customs adviser the specification, materials, use, origin and relevant shipment dates. Ask them to confirm classification, valuation, applicable additional duties and any other charges before relying on the estimate.

Duty is also not the only possible government charge. CBP’s import-fee guidance distinguishes duties from other fees and explains that the entry type and transport mode affect what applies. Keep those amounts separate from the broker’s own commercial service fee. This guide intentionally supplies no universal U.S. tax rate or fixed import-fee allowance.

5. Remove overlaps and total the shipment

Walk through the journey once, from supplier to warehouse. For each stage, identify who invoices you and which worksheet row contains the charge. A fee can appear on several supporting documents without being a separate expense each time. Include one payable amount for the service and retain the other references as evidence.

6. Calculate unit cost and record assumptions

For one identical product, divide the total by the stated quantity. For multiple products, allocate shared charges before dividing each product’s total by its quantity. Save the inputs, calculation date and unresolved questions with the result. A unit cost without those assumptions becomes difficult to reuse when the next order changes.

Landed cost calculation example: a 1,000-unit shipment

Assume you purchase 1,000 identical units for $10 each. All amounts below are in USD and are invented for teaching. The transport amount includes the origin services required in this scenario. The clearance and port handling allowance includes any applicable non-duty import fees assumed for the example. The final-delivery amount covers receipt at the stated warehouse endpoint. No other taxes or charges apply in this simplified exercise, and all 1,000 units arrive usable.

The shipment’s additional costs contribute $2.50 per unit. The 25% increase belongs only to these assumptions; it is not evidence that imported products generally cost 25% more than their supplier price. A different route, product, quantity or duty treatment could produce a very different result.

Keep the $350 combined allowance broken into its actual components in a real worksheet. It is grouped here to make the arithmetic readable, not to suggest brokerage, terminal charges and government fees are interchangeable. Likewise, the hypothetical $600 duty must be replaced with a shipment-specific assessment before a real purchase decision.

Avoid double-counting costs in supplier quotes

A CIF quote can already contain freight and insurance

ICC Academy’s CIF explanation describes the seller’s obligation to arrange and pay for carriage and insurance to the named destination port. CIF applies to sea or inland waterway transport. It does not by itself mean your warehouse delivery and import clearance are included.

Consider a separate hypothetical quote of $11,300 CIF to the named port. Its written breakdown is $10,000 goods, $1,200 covered transport and $100 insurance. Begin the worksheet with either the $11,300 bundle or those three components. Adding the same $1,200 and $100 on top of the bundle counts $1,300 twice. Add only separately payable destination and import costs after confirming their scope.

DDP still needs a named place and a clear scope

Under DDP, the seller handles import clearance responsibilities as explained in ICC Academy’s comparison of DAP and DDP. Check the named destination and unloading arrangements. A description such as “DDP USA” does not tell your worksheet where the priced service ends.

If a hypothetical $12,400 DDP quote already covers the duties in its agreed price, do not add another estimated duty line. If a separately payable $100 unloading service is required to reach your warehouse endpoint, the calculation becomes $12,500. Obtain written confirmation of both the bundle and the exclusion; a three-letter label alone is not an itemized cost statement.

Check forwarder and broker invoices against the bundle

A broker’s invoice might include both its own service fee and a duty payment advanced on your behalf. If the duty is already recorded from the entry documents, adding the entire broker invoice again duplicates it. Split pass-through amounts from new service charges and reconcile both to the same shipment reference. The amount of paperwork is not the number of expenses.

Compare suppliers using the same delivered outcome

Suppose two offers cover the same 1,000 units, specification, receiving services and warehouse destination. Assume every listed amount is complete and non-overlapping:

Supplier B’s goods cost $500 more, but its shipment costs $1,000 less overall. That conclusion holds only while the offers provide the same outcome. If B excludes a delivery service, requires a larger quantity or ships a different specification, resolve that difference before ranking the offers.

How to calculate landed cost per unit in a mixed shipment

An order containing different products needs more care than dividing every charge by the total number of pieces. A heavy low-value item and a small high-value item can place different demands on freight and insurance. Allocate charges that are directly attributable to a product to that product first, then choose a documented basis for genuinely shared charges.

Oracle NetSuite’s landed-cost documentation describes allocation by weight, quantity or value. Your worksheet should explain why the chosen basis fits the charge. Weight can be suitable for weight-driven freight, while value may fit value-based insurance. Volume or chargeable weight may be more appropriate when that is how the carrier prices the movement.

Here is a separate exercise allocating only $900 of shared freight. Product weight means the total weight of each product line, measured on a consistent basis.

Product A receives $900 × 300 ÷ 1,200 = $225. Product B receives $675. Dividing the entire $900 equally would assign $0.90 to every piece, shifting freight cost away from the heavier product. Whether weight is the right answer depends on the underlying charge, but the choice clearly changes the product-level result.

These numbers are freight allocations, not complete landed costs. Add each product’s goods amount, directly attributable duty and its share of other relevant expenses before calculating the final unit cost. Keep enough decimal precision for the line totals to reconcile, rounding displayed unit costs only at the end. Do not spread duty across unrelated goods simply because they share a container.

Separate recoverable tax, cash requirements and uncertainty

Some import-related payments may be recoverable under the destination country’s rules. For example, HMRC’s postponed import VAT guidance explains how eligible UK VAT-registered businesses can declare and recover import VAT on the same return, subject to the normal recovery rules. This is a UK example, not a U.S. import-tax rule or a promise that every importer can reclaim tax.

Show recoverable tax in a separate column rather than automatically burying it in the permanent unit cost. Also record when cash must be paid and when any recovery is expected. If treatment is unresolved, label it for confirmation with the relevant adviser instead of treating the amount as either definitely recoverable or definitely part of inventory cost.

Use a separate scenario for uncertainty. If the $12,500 example later incurs $300 of additional delivery cost within your chosen scope, it becomes $12,800, or $12.80 per unit. If only 980 units are usable and no credit is assumed, $12,500 ÷ 980 is approximately $12.76 per usable unit for commercial analysis. These are different scenarios; do not combine them without explicitly changing both assumptions.

For financing and payment timing, refer to wholesale payment terms. Keep any funding-cost scenario visibly separate from confirmed freight and duty invoices so the buyer can distinguish paid charges from modeled consequences.

Copy this table into your spreadsheet and add one row for each separate charge. Leave monetary fields blank while they are pending, but make sure the status is visible: a spreadsheet sum can silently ignore blanks and produce an incomplete total that looks finished.

Add separate columns for actual amounts and variance when invoices arrive. For bundled services, use the monetary amount on one row and record “included in row X” on supporting rows so the sum cannot count them twice.

Before approving the order, check these six points:

  1. Every quotation refers to the same goods, units and destination.
  2. Each transport stage and required receiving service has an identified payer and amount.
  3. Duties and other import charges have a shipment-specific basis and date.
  4. Each payable charge appears once; included services and non-applicable fees are marked explicitly.
  5. Any remaining unknowns are listed beside the subtotal, with an owner responsible for confirming them.
  6. The unit denominator and mixed-product allocation method are written beside the calculation.

After delivery, compare the estimate with invoices, entry records and actual receipt. Record why a variance occurred: an expired quote, a changed instruction, a missing service or a billing error.

Is landed cost the same as CIF?

No. CIF is a trade term covering specified seller obligations, including carriage and insurance to a named destination port. A warehouse landed-cost calculation can also need import clearance, applicable duties and inland delivery, depending on what the quote includes.

Can I calculate landed cost by adding a fixed percentage?

A percentage derived from comparable completed orders may support an early estimate, but it does not replace shipment-specific quotes and tax checks. The 25% uplift in this guide is only the result of its hypothetical example.

What if a charge is still unknown?

Mark it pending, identify who must confirm it, and report the known subtotal as incomplete. A separate scenario can show the effect of an assumed amount; an empty cell is not evidence of zero cost.
